File the check report with the Region
At every energy-efficiency check the report is drawn up in copies: one stays with the plant manager, the other is filed with the Region or autonomous Province, normally through the regional heating plant register. The maintainer who ran the check usually does the filing, but it is the plant manager who must be able to prove it happened: without a receipt, in front of an inspection, a check that was run and one that never happened look much alike. Keeping the receipt with the report is the only way to tell them apart.

File the fire-safety notice for the plant above 116 kW
Heat production plants fired by solid, liquid or gaseous fuel above 116 kW fall under activity 74 of Annex I to DPR 151/2011 and must file with the Fire Brigade Command, before operation, the certified notice of commencement together with the technical documentation; categories B and C also require prior design assessment. The evidence is the filing receipt. Applies to activity 74 with category thresholds of 116 to 350 kW (A), above 350 and up to 700 kW (B) and above 700 kW (C); the filing must be repeated whenever changes worsen the fire-safety conditions.

Have heat generators above 116 kW inspected every 5 years
Heat generators fired by solid, liquid or gaseous fuel serving central systems that use pressurised hot water below boiling point, with total burner capacity above 116 kW, are subject to a five-yearly inspection of the efficiency of their safety, protection and control devices; the first inspection is INAIL's responsibility, later ones may be carried out by the local authorities or by authorised bodies. The evidence is the periodic inspection report together with the plant registration book. Applies to heating plants above 116 kW (100,000 kcal/h) in factories, hotels, hospitals, schools and apartment buildings with central heating; art. 22 of D.M. 1 dicembre 1975 also requires the five-yearly inspection below that threshold in apartment buildings where appointing an administrator is mandatory under art. 1129 of the Civil Code.

Four-yearly efficiency check (gas, 10-100 kW)
On generators fired by natural gas or LPG with useful rated output between 10 and 100 kW the energy-efficiency check falls due every four years: this is the baseline national interval, halved only where the burner rating reaches or exceeds 100 kW. This line is for sites that, alongside the main boiler room, run smaller generators and end up applying the boiler room's interval to them by mistake. The duty lies with the plant manager; the work is for a maintainer authorised under D.M. 37/2008.

Notify commissioning of the heating plant
For heating plants with total burner capacity above 35 kW the installer files the installation notification with the provincial Fire Brigade Command and with the competent INAIL territorial unit, enclosing the plant design, the functional diagram and a technical report signed by a qualified engineer; the notification must arrive before the plant is started up, after which INAIL issues the plant registration book. The evidence is the INAIL filing receipt with a copy of the documents submitted. Applies to central hot-water heating plants operating at no more than 110 °C with total burner capacity above 35 kW; below that threshold the duty does not apply.

Run the annual energy-efficiency check (liquid or solid fuel above 100 kW)
The energy-efficiency check on winter climate-control systems fired by liquid or solid fuel with useful rated output above 100 kW falls due every year and covers the generation subsystem, the temperature control systems and any water treatment. The maintainer draws up and signs the check report, gives a copy to the system manager and files it with the Region or autonomous Province: the evidence is the report together with the filing receipt. Applies to systems fired by liquid fuel (gas oil, fuel oil) or solid fuel (biomass, pellets, wood chips) above 100 kW; between 10 and 100 kW the check is two-yearly.

Two-yearly efficiency check (liquid or solid, 10-100 kW)
Generators fired by liquid fuel (gas oil, fuel oil) or solid fuel (biomass, pellets, wood chips) between 10 and 100 kW fall on a two-yearly interval, not a four-yearly one: it is the fuel, not the output, that halves the baseline. Above 100 kW of burner rating the interval halves again and becomes annual — the line already present in this kit. The duty lies with the plant manager; the check is run by a maintainer authorised under D.M. 37/2008, who draws up and signs the report.

Keep the climate-control plant logbook up to date
The plant manager — owner, building administrator or contracted third party — completes and keeps the climate-control plant logbook, updating it with the energy-efficiency check reports, the maintenance work and any change to the plant or to the responsible party. The logbook must be available for inspection by the Region or its delegated body: the evidence is the logbook itself, aligned with the year's work. Applies to all winter and summer climate-control systems regardless of output; some Regions also require registration in the regional plant register with an identifier.

Run the two-yearly energy-efficiency check (gas or chillers above 100 kW)
The energy-efficiency check is two-yearly for gas-fired winter climate-control systems (natural gas or LPG) with useful rated output above 100 kW and for chillers and heat pumps above 100 kW. The maintainer draws up the check report and files it with the Region or autonomous Province: the evidence is the report, entered in the plant logbook. Applies to gas-fired systems above 100 kW (four-yearly between 10 and 100 kW) and to chillers or heat pumps above 100 kW (four-yearly between 12 and 100 kW); take care not to confuse useful rated output with the total burner capacity used for the 116 kW threshold.

Renew the plant's fire-safety conformity every 5 years
For activity 74 the operator files with the Fire Brigade Command, every five years, the periodic fire-safety conformity renewal, declaring that safety conditions are unchanged and documenting the efficiency of the fire-safety systems and equipment serving the plant. The evidence is the Command's filing receipt. Applies to operators of activity 74 in all categories A, B and C, which is not among the ten-year activities (numbers 6, 7, 8, 64, 71, 72 and 77); if the full fire-safety kit is also in use, keep a single deadline to avoid duplicates.

Check the intervals your own Region imposes
D.P.R. 74/2013 sets the national intervals, but several Regions have their own rules and a heating plant register with extra duties — Lombardy with CURIT, Emilia-Romagna with CRITER, and others with equivalent systems. In Lombardy, for example, below 35 kW the maintenance declaration with flue gas analysis is two-yearly, while ordinary maintenance stays annual. The plant manager checks once a year which regime applies at the site: the interval that counts is always the stricter of the national and the regional one.
