An installed tachograph must be inspected by an approved workshop at least once every two years, checking installation, operation, type-approval marks, seal integrity and the absence of manipulation devices. Proof: the updated installation plaque and the workshop certificate. The operator periodically downloads the data from the vehicle unit and the driver cards, stores it and makes it available to the authorities on request; record sheets and printouts must be kept for at least one year after use. The 28-day and 90-day intervals commonly applied in Spain do not come from Regulation (EU) 165/2014, which sets no download interval: check them against the Spanish implementing rules before treating them as a binding deadline. Pass the roadworthiness test for a passenger-transport vehicle
M1 vehicles used as taxis, ambulances or for school and minors' transport pass the ITV every year for the first 5 years of age and every 6 months thereafter. M1 and L driving-school vehicles follow their own table: exempt up to 2 years, annual from 2 to 5 years and every six months beyond 5. Proof: a favourable ITV inspection report. Applies to M1 vehicles with up to eight seats besides the driver used as taxis, ambulances or for school and minors' transport, and to M1 and L driving-school vehicles; ride-hailing vehicles (VTC) are not in the special list of art. 6.1 and follow the general M1 table unless the licence or regional rules say otherwise, while M2 and M3 buses have their own stricter regime, annual up to 5 years and every six months thereafter.

Keep the fleet's compulsory insurance in force
Every fleet vehicle normally kept in Spain must have a third-party liability policy in force, even when temporarily off the road. Check the policy expiry dates and the additions or removals as the fleet changes; the annual interval reflects standard contracts, not a statutory deadline. Proof: the fleet policy and the payment receipts. Applies to all motor vehicles in the fleet normally kept in Spain until they are deregistered (baja) in the Registro de Vehículos.

Pass the van or light commercial vehicle roadworthiness test
Goods vehicles up to 3,500 kg, category N1, are exempt from the ITV for the first 2 years, then tested every 2 years up to 6 years, annually from 6 to 10 years and every 6 months beyond 10 years. Proof: a favourable ITV inspection report and the sticker. Applies to N1 vehicles up to 3,500 kg, setting 24 months between 2 and 6 years of age, 12 months between 6 and 10 years and 6 months beyond 10 years; N2 and N3 vehicles over 3,500 kg and O2 non-caravan, O3 and O4 trailers are tested annually up to 10 years and every six months thereafter.

File the transport card endorsement (visado)
The transport authorisation, the tarjeta de transporte, has no fixed expiry but is subject to a periodic endorsement (visado) whereby the administration verifies that the operator still has real activity, financial standing, good repute and compliant vehicles. It is filed in the month assigned by the ministerial calendar according to the last digit of the tax number, in practice every two years; if the requirements are not evidenced within ten days the authorisation automatically loses validity, with reinstatement possible within one year. Proof: the visado receipt and the updated card. Applies to operators holding public or private complementary transport authorisations for goods or passengers and operador de transporte authorisations.
